Paying PGR Students for Teaching and Associated Work – Academic Year 2021/22

 

The University has developed a framework for the payment of PGR students for their work in undertaking teaching and its associated activities. The College has agreed that its Schools follow a standardised process using one form.  The interactive Excel-based form will ensure the correct number of hours are paid in accordance with the framework and their School’s approved remuneration rates.

 

Before your teaching begins

Schools will make arrangements to recruit and retain existing PGR students.  You will need to complete Student Engagement forms and Schools will need to complete ‘right to work’ checks, collecting passport and any visa documentation required from the student.  Further information will be provided by your school.

 

Schools will then pass these forms to HR Salaries to be set up on the University’s payroll systems and pass information to the College’s Finance (AHSS Finance).

 

Tier 4 Visas

Students holding Tier 4 visas must not undertake more than 20 hours paid or unpaid work in any week.  This is the absolute maximum number of hours, not an average.  This includes all aspects of teaching commitments and also any work elsewhere.  Any hours claimed exceeding 20 in any week will not be paid.  Checks are made so delaying claim submission or splitting hours across forms will be highlighted on our systems.  Please note that a 'week' is defined by the Home Office as a period of 7 days beginning with a Monday.

 

Completing and Submitting Timesheets - Queries and Key Points

You must now use the PGR Timesheet Academic Year 2019/20 form for all teaching related activities from 1st October 2019. We suggest you use the most up to date version of the form which can be found at the bottom of this page.

The form changes as you complete it depending on your School. For where and how to send your claim, see the Notes section at the bottom of your form.

We suggest you complete and submit your timesheets at the end of every week. If submitting by email, we recommend you save your completed form as a ‘PDF’ (File, Save As Adobe PDF or File, Save As, change Save as type from Excel to PDF) and send it to the email address given on the form.

Timesheets must be submitted to AHSS-Finance by the 3rd working day of the month to be paid that same month (payment last working day of the month), please note your School may have an earlier deadline for submission, please check with your PGR Teaching Coordinator.

Cut off deadlines:

Deadline is 05/10/2021 – to be paid in October's pay 29/10/2021

Deadline is 03/11/2020 - to be paid in November's pay 30/11/2021

Deadline is 02/12/2021 - to be paid in December's pay (this is earlier than normal due to the Christmas period) 31/12/2021

Deadline is 05/01/2022 - to be paid in January's pay 31/01/2022

Deadline is 03/02/2022- to be paid in February's pay 28/02/2022

Deadline is 03/03/2022 - to be paid in March's pay 31/03/2022

Deadline is 05/04/2022 - to be paid in April's pay 30/04/2022

Deadline is 05/05/2022 - to be paid in May's pay 28/05/2022

Deadline is 03/06/2022 - to be paid in June's pay 30/06/2022

Deadline is 04/07/2022 - to be paid in July's pay 30/07/2022

Deadline is 03/08/2022 - to be paid in August's pay 31/08/2022

Deadline is 05/09/2022 - to be paid in September's pay 30/09/2022

If you have any queries with the timesheet form and/or the payment process, please contact the College Finance Team at ahss-finance@cardiff.ac.uk however in the first instance please ensure:

  • You are Enabling Editing once opening the form – the form will not work correctly otherwise.
  • You are selecting your School from the dropdown (Section 1)
  • You are declaring your Tier 4 status from the dropdown (Section 3)

If you have difficulty using the Excel version, you can print your School’s form (at the bottom of the page). Note that it will not calculate the preparation hours but the College Finance team will do this on your behalf.

This form is only suitable for work carried out as Class Contact (lectures, seminars, laboratory classes) or Assessment and Feedback (marking). Any other duties carried out should be paid via Jobshop. If you have any queries with this or on the number of hours you get paid for the type of work undertaken, please contact your school’s PGR Teaching Coordinator.


Class Test Invigilation

Although arranged by the School is not paid though the PGR Teaching Framework and form.  Payment should be arranged through Jobshop.
